DECEMBER 2024 UPDATE:
In December 2024, the AIBC published Practice Guideline: Use of the Architect’s Seal, which replaces Bulletin 60: Signature, Seal and Delivery of Electronic Documents and Bulletin 61: Seal of an Architect.
When Architects AIBC deliver documents digitally, the electronic versions of their seal is required, as outlined in Bulletin 60: Signature, Seal and Delivery of Electronic Documents and Bulletin 61: Seal of an Architect. A digital seal is an encrypted electronic ‘signature’ that assures the origin of an electronic document, its integrity, and its authenticity. For registrants, this allows architectural documents to be securely signed, sealed, and delivered electronically.
There are several advantages of digital sealing, including remote sealing. The seal is applied using a computer, with the Notarius software, called ConsignO. Obtaining a Digital Seal
Currently, both the AIBC and Notarius are working to set up every architect who requests a digital seal with one as quickly as possible.
The entire process of obtaining a digital seal is done online. There are four steps, which take approximately 45 minutes to complete over several business days. Additional detail can be found on the Notarius website. The Notarius team also has technical staff who can assist architects with setup and use. Please note that Notarius uses the terms ‘seal’ and ‘signature’ interchangeably.
To meet AIBC sealing requirements, you must use the Notarius technology for your architectural seal. However, once you have the software, you may use it to secure your seal, as well as any signature, notation or document. For example, architects acting as Coordinating Registered Professionals may use it to secure the CRP initials on Letters of Assurance, and architects acting as Certified Professionals may use it for the CP stamp.
